Keep commercial client decisions connected to the terms reviewed

The short answer

A clear commercial client decision record connects the options presented, the agency’s reviewed explanation, the source versions and the client’s instructions. Keep unanswered questions and required actions visible. A client choice, an agency request and a carrier confirmation are separate events and should remain distinguishable in the account history.

Present the next decision clearly

Clients should be able to find the agency’s explanation, relevant options, significant caveats and the next requested action. Keep detailed supporting documents accessible without requiring every participant to reconstruct the entire file.

An owner may decide which option to pursue while a finance colleague supplies payment information and an operations colleague confirms a location schedule. Assign each request to the appropriate person and avoid exposing records beyond their role.

Record what the client actually instructed

Use the agency’s approved process to record the interaction. Viewing a page, opening an email or clicking a generic button does not by itself establish all the instructions or authority needed for the transaction.

  • The account and terms presented
  • The proposal and quote versions reviewed
  • The client participant and date
  • The instruction, question or decision received
  • Any unresolved condition or required follow-up
  • The agency reviewer and next authorized action

A fictional account with two client contacts

Harbor Lane Manufacturing’s owner asks the agency to proceed with a reviewed option. Its finance manager still needs to provide a requested document. The account records the owner’s instruction and keeps the document request open with its own owner.

If revised terms arrive before the agency’s next action, show which earlier explanation and instruction may need revisiting. Keep the original history rather than rewriting it as though the client had reviewed the new terms.

Support the channel clients already use

A shared client view can make the process clearer, but some clients will answer by email or work from a PDF. Define how those responses enter the account record. The team needs reliable continuity, not merely a new destination.

Test mobile readability, keyboard access, plain language and the time needed to supply the next item. A polished screen is useful when it reduces confusion and repeat explanation.

Carry the decision into policy checking

Keep the current selected terms and relevant instructions available when issued documents arrive. The agency can then evaluate whether the documents reflect the expected result and record unresolved differences.

At renewal, the prior history helps identify changed facts, earlier declined options and questions worth revisiting. Do not assume an old instruction applies indefinitely or to materially different terms.
